Receptionist
Dynamic, Award winning Private Practice
We are looking for a receptionist to organize and coordinate administration duties. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.
Previous experience in a Financial Services organisation is highly desirable but not necessary.
Responsibilities:
- Supports company operations by maintaining office systems.
- Responsible for switchboard and incoming calls, fielding calls and transferring to appropriate staff members.
- Managing correspondence in/out
- Client Meeting and conference arrangements
- Diary Management
- Various other general administration & Office duties as required including maintaining office premise cleanliness & adhoc errands.
- Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems and assigning and monitoring clerical functions.
- Providing support services to the Partners / Accountants with daily administrative requirements & functions (i.e., assisting in creating and the preparation of correspondence, documents, and reports)
- Extreme adherence to confidentiality procedures and practices both digital and physical.
Successful candidates will be required to meet the following criteria:
- Be available to work consistently Monday to Friday – 9am to 5.00pm
- Display reliability & professionalism at all times including neat, office-appropriate working attire.
- Friendly & confident telephone & client liaison manner
- Be a switched-on individual with a high attention to detail.
- Be flexible & willing to learn a variety of tasks.
- Demonstrate an intermediate user level on computer systems including Microsoft programs – Word, Excel & Outlook
- Be able to work autonomously & within the team environment.
- Be highly organised with effective time management skills.
